Photo Preparations for Dutch Official Travel and Overseas Postings

Dutch diplomatic and service passports are handled by the diplomatic passport desk of 3W/CDC in The Hague. The requirements depend on why the passport is needed, so an official business trip and an overseas posting should not be treated as identical applications. Establish the applicable route with your organisation before arranging the photographs and accompanying paperwork.

For the official-travel route, 3W lists one recent photograph meeting the Dutch Fotomatrix, no more than six months old. The overseas-posting checklist asks for two recent photographs per person. The service also distinguishes the supporting papers for these situations, such as a memorandum for official travel or the relevant posting documentation. Check the correct checklist for every person attending.

You can prepare the portrait with attention to facial expression, clear facial detail and consistent photo quality. For military applicants, the official-travel checklist specifies a photograph without uniform. Follow the desk’s instructions for supplying the final prints; preparing an image digitally is a separate matter from the submission method required for the passport appointment.

Keep the portrait ready together with the current travel document and the official supporting papers. If several family members are applying for an overseas posting, organise each person’s photographs with their own documents. This makes it easier to check quantities and avoid mixing pictures between applications. The diplomatic passport desk, rather than a general municipal passport checklist, is the source for this procedure.
